School Payments MIS Integration: Eight Questions For Trust IT
Plugs Into What You Already Run
The best payment system isn't the one with the most features. It's the one that fits seamlessly into the systems you already use.
That's why schools and multi-academy trusts should look beyond functionality and focus on integrations, data flow and ease of management.
Use the eight questions below to challenge any provider, including iAntz. Then explore our integrations and MIS systems pages to see how iAntz helps schools reduce administration without adding complexity.
Eight MIS Integration Questions
- Which MIS systems do you integrate with, and how does the sync work? Don't settle for "we integrate with your MIS". Ask which MIS systems are supported, how often data syncs, whether updates are automatic and what happens if a sync fails.
- How much data will our staff need to enter twice? Duplicate data entry creates extra work and increases the risk of errors. Ask what information is automatically synchronised and what, if anything, still needs to be managed manually.
- How long will implementation take? Ask for realistic timescales, not best-case scenarios. A good answer should cover setup, configuration, data migration, training and go-live support.
- How do you integrate with systems beyond the MIS? Your MIS is only part of the picture. Ask how the platform connects with finance systems, authentication services and other school software. See our Other Systems page.
- How are permissions managed across schools and trusts? Multi Academy Trusts need different access levels for trust leaders, school staff and administrators. Ask how roles work and whether you're charged per user.
- Where is data stored and how is it protected? Ask where data is hosted, who the data processor is and what security controls are in place. Compare the answers against our Security and Data Protection information.
- How do you support safeguarding and audit requirements? Look for clear answers around audit logs, access controls, user permissions and record retention. Good safeguarding depends on more than policy documents.
- What is the parent experience actually like? Ask to see the complete journey from a parent's perspective. How many steps does it take to sign up, make a payment or respond to a school request? Simplicity drives engagement.
Two Things Worth Adding
Don't Forget Support and Exit Planning
Most suppliers will talk about features and integrations. Fewer will talk about what happens when you need help or when you decide to move on.
Ask who supports the platform, what response times you can expect and how issues are resolved. Then ask how you would export your data if you ever left. Clear answers to both questions are often a good indicator of the supplier you're dealing with.
How To Use the List
The best time to ask these questions is before the demonstration, while you're still comparing potential suppliers.
Written responses make it easier to compare answers side by side and identify where products genuinely differ.
The goal isn't to find the longest feature list. It's to find the solution that fits your schools, works with your systems and reduces administration.
